Office Administrator

Salary Range: £21,000 – £24,000
Working Hours: Ideally full time – 37.5 hours per week. Other hours can be considered (e.g within school hours – Salary would be pro-rata)

About the Role:
We are searching for a highly motivated and organised individual to join our team as Office Administrator. In this role, you will be the initial point of contact for our clients, providing administrative support across various departments and ensuring the smooth operation of our office.

KEY RESPONSIBILITIES

Client Contact:

  • You’ll be the friendly face (or voice!) that greets our clients, whether they call in, reach out online, or need help scheduling a meeting. Basically, you’ll be their go-to person for all things client-related!

Job Management:

  • Manage our client’s journey through our company systems (e.g. Dropbox, Monday.com, Xero).
    You’ll provide comprehensive support to our technicians, handling client-related tasks, planning application processes, and liaising with key third-party consultants.

Administrative Support:

  • Keep the office running smoothly: This encompasses managing supplies, handling incoming enquiries, booking appointments etc
  • Project administration – providing all-round project support to colleagues and clients, from initial contact to final documents
  • Support team communication: You’ll be responsible for routing client enquiries to the right people and taking minutes during board meetings.
  • Drive continuous improvement: You’ll have the opportunity to analyse and suggest improvements to optimise administrative processes.
  • Support planning applications: complete necessary forms, manage planning emails, update clients on progress.

MANDATORY EXPECTATIONS

To be successful in this role you should have:

  • Minimum 1-2 years of working experience requiring organisation and supporting the smooth running of an office environment.
  • A strong foundation (minimum 5 GCSEs A-C) in core subjects.
  • Proficient in using spreadsheets and word processing documents (G-Suite or similar)
  • Ability to prioritise and manage multiple tasks simultaneously.
  • Great communication skills (written and verbal) – you can explain things clearly and connect with people easily.
  • A willingness to learn new things (adaptability to new software programs) and a keen eye for detail.
  • The ability to work independently and also collaborate effectively as part of a team.
  • A positive and professional attitude – you bring a great vibe to the workplace!

DESIREABLE EXPERIENCE

  • Experience working within the architectural or planning industry (training to be provided should additional support be required)
